Cookies:

We do not use cookies on this site to identify individuals, other than when a member logs into the members area. These are 'Session Cookies' which are destroyed when a member logs out of the site or closes the browser window - they are not stored long term on the user's computer. These are used so that a member can only log into his/her club etc.

We use Google Analytics to make sure our statistics are reliable.

Google Analytics stores information about what pages you visit, how long you are on the site, how you got here and what you click on. We do not collect or store your personal information (e.g. your name or address) so this information cannot be used to identify who you are.

We have some pages that link to external tools such as Google Maps and YouTube. These tools sit on Google’s web servers and you can find more information on Google's Privacy Policy here.

Some pages may have cookies used to integrate with Social Media sites, so that, for example, if you are logged into Facebook, you can 'like' pages.

We do not collect personal data in the public area of the site - if you complete a contact form, for example, your email address is not stored in a database for re-use, nor is any information passed to third parties.

                                            PRIVACY POLICY

 

This policy describes how The Rotary Club of Cotswold Tyndale (the Club) collects, stores and uses personal data about you as a member of the Club.

 

Data Types

The Club collects and processes the following data about you:-

Name

Home address

E-mail address

Telephone number(s)

Date of birth (where appropriate)

 

Collection

The Club collects your personal data only from you. 

 

Storage

The Club stores your personal data in paper and electronic form.

 

Use

The Club may use your personal data for the following purposes:-

  1. To administer your membership, and keep a record of your relationship with the Club and with the Rotary organisation.
  2. To provide you with the services and information you would reasonably expect as part of your membership.
  3. To give you information and updates about the Club’s activities and those of other relevant organisations, and any other information you may request.
  4. To prepare a handbook (Club Membership List) for the Club.
  5. To prepare the Club’s newsletter (“Murmurings”)
  6. To present our website and its contents to you and to improve it.
  7. To request your assistance with any of the Club’s activities. 
  8. For any other purpose for which the Club has your consent.

 

Timescale

The Club will hold your personal data in its system for as long as you are a member of the Club . After you cease to be a member, the Club will retain your data for no longer than is necessary to perform its administrative and legal duties in relation to your membership and will then safely and permanently destroy it.

 

Club Membership List

The Club Membership List is an annual written list of Club members which is published each year by the Secretary of the Club. The List is reviewed and renewed annually. It comprises a list of the names of all the Club’s officers for the year and of each member’s and honorary member’s name, postal and e-mail addresses and telephone numbers.

A member’s details will be included in the Membership List only with his or her  consent. Club members are required to protect the List and ensure that its contents are not distributed outside the Club. 

You are required to indicate you consent to these arrangements by signing the Membership Joining and Annual Subscription forms. 

If any member does not so consent, his or her personal data will not be included in the List or shared with other members.

 

Sharing data with third parties

The Club does not sell, trade or otherwise divulge your personal data to third parties unless the Club has your permission or is required by law to do so.

 

Sharing within the Rotary Organisation

The Rotary Organisation comprises Rotary International (RI), The Rotary Foundation (TRF), Rotary International in Great Britain and Ireland (RIBI), the Rotary Foundation United Kingdom (RFUK), the RIBIDonations Trust and Rotary District 1100. When you give the Club information, it will be shared (via the Organisation’s data management Service (DMS)) within the Rotary Organisation, to facilitate your membership and to provide the service afforded to you as part of that membership. The Organistion will have in place data processing agreements compliant with GDPR before sharing your data within the Organisation.  

 

Storage and Security

Your personal data which you provide to the Club is encrypted and stored in password protected files where possible. The Club is committed to ensuring that your data is secure. To prevent unauthorised access to or disclosure of your data, the Club has put in place suitable physical, electronic and managerial processes to safeguard and secure the data the Club collects from you.

The transmission of information via the internet is not completely secure, and the Club cannot guarantee the security of data sent to it electronically. Transmission of data by such means is therefore at your own risk.

If the Club gives you, or you have chosen, a password to enable you to gain access to any part of the Club’s website, you are required to keep it secure.

The Club’s website is linked only to those of the Rotary Organisation.

 

Your rights

You have the right of access to the data the Club holds about you, and to have any inaccuracies in it corrected promptly.
