Every effort has been made to ensure that the original template pages for this site are W3C compatible.

However, as the content of pages is supplied by the club, such content may not be compatible.

Cookies:

We do not use cookies on this site to identify individuals, other than when a member logs into the members area. These are 'Session Cookies' which are destroyed when a member logs out of the site or closes the browser window - they are not stored long term on the user's computer. These are used so that a member can only log into his/her club etc.

We use Google Analytics to make sure our statistics are reliable.

Google Analytics stores information about what pages you visit, how long you are on the site, how you got here and what you click on. We do not collect or store your personal information (e.g. your name or address) so this information cannot be used to identify who you are.

We have some pages that link to external tools such as Google Maps and YouTube. These tools sit on Google’s web servers and you can find more information on Google's Privacy Policy here.

Some pages may have cookies used to integrate with Social Media sites, so that, for example, if you are logged into Facebook, you can 'like' pages.

We do not collect personal data in the public area of the site - if you complete a contact form, for example, your email address is not stored in a database for re-use, nor is any information passed to third parties.

 

ROTARY CLUB OF PRINCES RISBOROUGH (RCPR) PRIVACY POLICY


1. Background.


On 25 May 2018, the new General Data Protection Regulation (GDPR) comes into force.  This will operate across the EU and it supplements the existing Data Protection Act (DPA).  More about the GDPR and its relationship to the DPA can be found on the website of the Information Commissioner’s Office (ICO) at https://ico.org.uk/  The ICO is the body responsible for implementing the legislation.


The general thrust of the GDPR is to give extra duties to organisations, such as RCPR, which hold personal data  and extra safeguards to those members of the public, such as RCPR Members, RCPR Members partners, local community members and Suppliers whose personal data is held.  Organisations (RCPR) holding personal data are called Data Controllers .

The purpose of this Privacy Policy is to explain how RCPR obtains and manages personal data for which it is Data Controller as well as to set out its general approach to privacy and compliance with the GDPR.

2.  Why do we hold personal data?

We hold the personal data of RCPR Members for a number of reasons:

In order to send meeting agendas, meeting minutes and club related correspondence. 

In order to send invitations for club events and meetings.

In order to seek volunteers to manage and execute club events and projects.

In order to book in or out of Club events.

We hold the personal data of RCPR Members Partners for a number of reasons:

In order to send invitations for club events and meetings.

In order to seek volunteers to manage and execute club events and projects.

In order to book in or out of Club events.

We hold the personal data of Local Community members for a number of reasons:

In order to enlist volunteers for set up, event stewarding and tear down.

In order to seek volunteers to assist with club events and projects.

In order to send invitations for club events and meetings.

In order to provide relevant event documentation.

In order to advise of any event changes.

In order to invite to a post event meeting.


We hold the personal data of Suppliers, who may use personal emails etc rather than business contact details for a number of reasons:

In order to obtain availability and quote enquiries.

In order to send purchase orders.

In order to obtain the appropriate insurance and licences.

In order to provide relevant event documentation 

In order to advise of any event changes.

In order to advise of the charity monies raised.

In order to invite to a post event meeting

3. How and when do we collect information about you?

The RCPR only collects, stores and processes information which you give us; not from any other sources.  


4. What information does RCPR collect about you?  


Information is collected via the RCPR web site (rotary-ribi.org) and or by direct contact and typically includes:

Name

Address

Phone numbers (home and mobile)

Email address

Date of birth (RCPR Members only)


5. How will RCPR use your data?

RCPR will use your information to meet the requirements detailed at para 2 above, to keep you informed about matters connected with RCPR and events  and to respond to any correspondence or query from you.

6. Will RCPR share your personal information with anyone?

We will only use your information within RCPR for the purposes for which it was obtained.   

RCPR will not, under any circumstances, pass your details to any other person or organisation, without your explicit consent - which must be obtained on every occasion.

However, we will comply with legal requests from authorised, official bodies (e.g. our insurers, the police, etc.) where disclosure is required or permitted by law.

7. How long will RCPR retain your personal information?

We will retain your personal information so long as you remain associated with RCPR. 

We will delete your details 12 months after you have ceased to be associated with RCPR or at any time at your request.  

8. How does RCPR keep my data safe?

Information is stored on password-protected PCs or laptops held by RCPR Members

9. Your Rights

You have the right to:

Receive a copy of the personal data we hold on you by emailing us at rotary-ribi.org.

Have corrected any errors or omissions in the personal data held.

Withdraw your consent for us to hold your personal data at any time.  If you withdraw consent for the use of your data you will no longer be able to be associated with RCPR.

By providing us with your personal data you consent to its use in accordance with this Privacy Policy.

11.  Changes to this Privacy Policy

This Privacy Policy may be updated from time to time to ensure we keep in line with the law and best practice.
