Note, these forms are not for club projects, which would fall under Foundation District Grants. Please refer to the Foundation pages for these.


These forms are to be used for District undertakings where no budget presently exists or where an increase in an agreed budget is required and this is outwith the discretion of the budget holder. Such requests have to be approved by the District Executive.  

Experience has shown that requests arrive in a variety of formats and often there is insufficient information available in order to reach a decision, hence the push for a standard format which satisfies key requirements.

Criteria/Guidelines for Funding Requests

As a District we welcome new ideas and initiatives and appreciate that these may require some financial outlay.  It may be possible to secure a contribution towards costs from District, but there are often a number of competing claims which require to be assessed carefully.

  • An Application for Funding form is available and to assist Rotarians in completing the form, the following criteria and guidelines have been established.
  • Applications should be sent (preferably as email attachments) to any one of the following: District Treasurer, District Secretary or District Governor
  • Funding requests need the approval of the District Executive and in the unlikely event of there being no majority decision, the District Governor will have the final say.
  • The decision of the District Executive is final, there is no appeal process.
  • Applications should be submitted at the earliest possible opportunity as it can take time for the Executive to consider such requests outwith Executive meetings.
  • Each application requires careful attention as it will be judged on its own merits.  As much relevant information as possible should be provided at the outset to avoid delays, but the District Executive reserves the right to seek further information before making a decision.
  • Applications should clearly identify any risks (financial or otherwise) associated with the project or event and detail the steps taken to mitigate them.
  • Applications should list the benefits of the project or event to Rotary and demonstrate how these will be measured.
  • Successful applications will receive a contribution towards the net cost of the project or event. It is extremely unlikely that 100% funding will be available.
  • Anticipated costs should be documented and these should reflect the best price (not necessarily the lowest) for this particular project or event.
  • Applicants should make every effort to seek external funding for the project or event.  This can be in the form of sponsorship, charges for entry, grant monies etc.
  • Individual Rotarians attending an event will not be funded.
  • Any decision made in respect of assistance will not set a precedent for subsequent applications.  Each application is considered in the light of the position at the time.
