Outline of a Club Treasurer's Duties
A: Accounts &
Budgets
1.Confer with
predecessor or successor in preparation of budgets & accounts. It is the
current Treasurer's responsibility to present the Accounts to his or her Club.
2.Liaise
with other Club members who may be
involved in some specific financial activities. Wherever possible ensure that
signed reports of all activities are on file.
3.Prepare budget
for submission to club council before 31 May.
4.Report on
financial performance against budget at relevant meetings.
5.Produce Receipts & Payments/ Income &
Expenditure & Balance Sheet for Rotary year
end & present them to a special Club meeting by 31 December. In the
event of a change the responsibility lies with the outgoing Treasurer.
6.Arrange for the annual examination of the club's accounts.
7.Reconcile
bank accounts regularly.
8.Keep records
of Club's finances-with separate
accounts for club and fund raising activities. Where appropriate, prepare Charity Accounts and complete the
Charity Commission's form if either revenue or expenditure exceeds £10,000.
9.Remember to claim Gift
Aid wherever appropriate. If members have given a standing authority do not
forget to invite new members so to do.
10.If you sponsor an Interact Clubit is recommendedthat arrangements be made for all sums raised
for charitable purposes be included as part of your Club's Charity account.
B: Payments &
Banking
1.Pay RIBI & District subs within 40
days of 1st July & 1st January.
2.Pay District Levy of £21 per Member as
soon as possible. Payment per
internet banking, to a/c 0231753; Sort Code 30-96-52 should save the
Club circa 70p (bank charges
& post) & District circa 40p bank
charges.
3Pay
honorarium to President -be aware that HMRC can require an Enquiry; avoid round sum payments.
4.Pay
bills and bank receipts promptly.
5.Review banking arrangements & put any surplus funds on
deposit
Amend cheque signatories with bank on
change over of club
Officers
Please remember that
money laundering regulations will
guarantee
that the process will be time
consuming and exasperating.
6.Liaise
with HM Customs & Revenue regarding corporation tax
payable
on interest received.
C: General
1.Ensure club's assets are adequately insured. Bear in mind that
the annual premium for Interact & Roteract
Clubs (£40 per Club in 2007/8)
is charged by RIBI to District who in turn will invoice the
appropriate sponsoring Clubs.
2.Arrange for the safe keeping of club funds & assets.
3.As an Officer be
prepared to act as a voting member of your
Club Council & encourage colleague Officers to
attend as if there is not a
Quorum at Club
Council official business can not be
ratified.
4. Seek out all relevant correspondence from the club Secretary.
5. Be conversant with: RIBI Constitution & By –Laws; Manual for
Incoming
Officers; Standard Club Constitution & By-Laws; Guide.
