Guidance Notes

Welcome to the Stewardship page

For more information on anything on this page, please contact the District Stewardship Officer, Arthur Griffiths.

The Grants Model gives more responsibility and accountability to District and to Clubs. This means that there is an expectation of high standards of stewardship, oversight, monitoring, reporting and document retention. Standards will conform with good business practice.

Clubs must be qualified to receive Foundation grants and this must be renewed on an annual basis. To qualify, clubs must attend the Grant Management Seminar, held as part of the Club Leadership Programme, and also the Club must sign the Club Memorandum of Understanding. This document must be signed by the President and President Elect for the Rotary year in which the Club is seeking qualification. Therefore if your club is completing immediately after the Grant Management Seminar then it must be signed by the incoming President & President Elect, not the current role holders. Dates of the Club Leadership Seminars are published in the District diary as soon as they are confirmed and promoted in the monthly Digest publication.

Once a Club has been successful in applying for a Foundation Grant funding then you must ensure that you meet the terms of the Club MoU and the District has produced the attached guidance notes. It is important that Clubs follow the attached guidelines and respond to all requests for information as soon as is practicable to ensure that the District remains qualified to be able to deliver Foundation Grant Funding for all.

Reporting is an essental aspect of good stewardship. Clubs holding District Grants must respond to requests for periodic progress reports from the Stewardship Officer. Once a project is complete a final report must be submitted to the Stewardship Officer within two months. Click here for a copy of the District Grant Report form.
